Using the CompanyCam + QuickBooks Online Integration

Learn how the CompanyCam and QuickBooks Online integration syncs Projects, Invoices, Estimates, photos, and Payments.

Before getting started, make sure you've already connected your CompanyCam and QuickBooks Online accounts. Once your accounts are connected, the integration handles the heavy lifting. Every new Customer or Sub-Customer creates a matching Project automatically, and Invoices, Estimates, photos, and Payments sync between the two.


How it works

When you create a new Customer or Sub-Customer in QuickBooks Online, CompanyCam automatically creates a matching Project.

  • Projects created from Customers will use the Customer’s Display Name and Shipping Address.

  • Projects created from Sub-Customers will use the Sub-Customer’s Display Name (even if it differs from the parent’s name) and the Sub-Customer’s Shipping Address — not the parent’s mailing or billing address.

Each new Project gets a "QuickBooks Customer" label. Creating an Estimate or Invoice for a Customer or Sub-Customer that hasn't synced yet also triggers a new Project. Invoices and Estimates sync to the Documents section of the matching Project, and Payments marked "Paid" in CompanyCam sync back to the matching QuickBooks Customer under transactions.

Use Signatures to fill out synced Invoices and Estimates directly in CompanyCam. Projects with these documents attached get an "Invoice Attached" or "Estimate Attached" label. QuickBooks Online also adds a link to the CompanyCam Project in the Customer's Notes section.

A copy of the link to the CompanyCam Project will be available in the Notes section for that customer in QuickBooks Online.

Note: Photo syncing requires a higher QuickBooks Online tier. Photos don't sync from QuickBooks Online to CompanyCam automatically, but Admins and Managers can sync them manually from the web or mobile app.


Working through your QuickBooks Online workflow

  1. Create a Customer in QuickBooks Online. The name, address, email, and phone number sync to the new CompanyCam Project. Sub-Customers sync as new Projects too.

  2. Create an Invoice or create an Estimate for the Customer. These sync to the Documents section of the matching Project.

  3. Check the matching Project in CompanyCam. Projects with synced Documents get an "Invoice Attached" or "Estimate Attached" label.

  4. Copy the CompanyCam Project link from the QuickBooks Customer record to jump straight to the Project.

Note: If the Invoice or Estimate doesn't have a dollar amount, it won't sync to CompanyCam.


Syncing photos to QuickBooks Online

Admins and Managers can sync photos to QuickBooks Online.

On the web

  1. Open a Project created by the QuickBooks Online integration and either take photos in the Project or upload existing photos to it.

  2. Select the photos you want to sync: click the square icon next to a date to select all photos from that day, or the square icon on an individual photo.

  3. Open the Actions menu and select Send Photos to QuickBooks Online.

  4. Use the drop-down menu to choose whether to sync the photos to the Customer Record, Estimate, or Invoice. Select Send.

Synced photos land in the Attachments section of the Customer Record, and at the bottom of the Invoice or Estimate. If a sync fails, you'll get a notification.

In the app

Important: Your CompanyCam app needs to be version 9.3.8 or later to sync photos to QuickBooks Online.

  1. Open a Project created by the QuickBooks Online integration and either take photos in the Project or upload existing photos to it.

  2. Select the photos you want to sync.

  3. Tap the three dots in the bottom-right corner.

  4. Tap Send Photos to QuickBooks Online.

  5. Choose whether to sync the photos to the Customer Record, Estimate, or Invoice. Select Send.

Synced photos land in the Attachments section of the Customer Record and at the bottom of the Invoice or Estimate. If a sync fails, you'll get a notification.


How to sync Payments to QuickBooks Online

Note: You need Payment syncing turned on in your QuickBooks Online integration settings, plus an active Stripe account with Payments enabled.

  1. Once the customer pays and the status changes to "Paid," the payment syncs back to QuickBooks Online under the linked Customer's transactions.

The transaction number matches the Stripe transaction and is viewable from the transactions tab.


FAQs

What information syncs from QuickBooks Online to CompanyCam?

When a Project is created through the integration, CompanyCam syncs:

  • Customer or Sub-Customer name

  • Shipping address

  • Email address

  • Phone number

  • Estimates

  • Invoices

Projects created from Sub-Customers use the Sub-Customer's Display Name and Shipping Address, not the parent Customer's information.

What information syncs from CompanyCam back to QuickBooks Online?

  • Photos (manually initiated by an Admin or Manager)

  • Payments marked as Paid (when Payment syncing is enabled)

  • A link to the CompanyCam Project, added to the Customer's Notes in QuickBooks Online

Why don't I see the option to send photos to QuickBooks Online?

Make sure that:

  • The Project was created through the QuickBooks Online integration.

  • You're an Admin or Manager in CompanyCam.

  • Your QuickBooks Online subscription supports attachments.

  • On mobile, you're using CompanyCam version 9.3.8 or later.

How can I tell if a Project in CompanyCam was created through the QuickBooks Online integration?

Projects created through this integration will include a QuickBooks Online Customer Label.

Can I manually link a CompanyCam Project to an existing QuickBooks Customer?

No. Projects are linked automatically through the QuickBooks Online integration when they're created. Manual linking isn't currently supported.

Can multiple CompanyCam Projects be linked to the same QuickBooks Customer?

No. Each QuickBooks Customer or Sub-Customer is linked to a single matching CompanyCam Project created by the integration.

Can I see requested or pending Payments in QuickBooks Online?

No. Only Payments with the "Paid" status will sync from CompanyCam to QuickBooks Online.

Can I request signatures on Estimates and Invoices synced from QuickBooks Online?

You can request signatures on any Estimate or Invoice that syncs to your CompanyCam Project through the QuickBooks Online integration. Signatures is available on select plans — reach out to our team if you're interested in access.
