Documents Explained

Learn what the Documents tab holds, how to build a Document or upload a PDF, and how to organize them with folders and access levels.

The Documents tab is where your job's paperwork lives, separate from your photos and videos. Some Documents you build right in CompanyCam, others you upload from your device. This article covers both kinds, how to sort them into folders, and how to control who can see them.


What the Documents tab is

Every Project has a Documents tab. It's the one place your job's paperwork lives, apart from your photos and videos. Two kinds of things sit here, and a small pill on each one tells you which is which: a Doc pill for something you built in CompanyCam, a PDF pill for something you uploaded.

Documents you build

These start from your job's photos: progress summaries, invoices, daily logs, notes. Open a blank Document or pick a layout, and some layouts use AI to draft it from your photos for you (on select plans). Build one once and save it as a template to reuse on your next job. They land in the Documents tab with a DOC pill.

Documents you upload

These come from outside CompanyCam: plans, contracts, spec sheets, permits, a scanned receipt. Upload them from your device, or scan paper with your phone's camera in the app. They land in the same Documents tab with a PDF pill.

Keeping Documents organized

Folders

Once a Project has a stack of Documents, folders keep them findable. Build folders like Plans & Drawings or Permits & Inspections, then move Documents into them.

Who can see a Document

By default, a Document is set to Everyone, so anyone with access to the Project can open it. Switch it to Restricted, and only Admins, Managers, and the person who added it can see it.

Note: Admins and Managers can manage who sees a Document.


When to build or upload

Simple rule: build it if it starts from your photos, upload it if it came from somewhere else. A progress summary or an inspection report pulling in job-site photos is something you build. A signed contract, a set of blueprints, or a permit is something you upload. Both end up side by side in the Documents tab.

If you reach for the same document on job after job, like a standard contract or a spec sheet, save it once in your Templates as a File and add it to any Project from there (select plans).


FAQs

What's the difference between the Doc and PDF pills?

The Doc pill marks a Document you built in CompanyCam. The PDF pill marks one you uploaded from your device. Both live in the same Documents tab.

Who can see the Documents I add?

By default, everyone with access to the Project can see a Document. Admins and Managers can restrict one so only they and the person who added it can open it.

What file types can I upload?

You can upload PDF, Word, Excel, CSV, TXT, image, and Numbers files, up to 100 MB each.

Can I edit a PDF Document after uploading it?

PDF Documents cannot be edited. Create a DOC-style Document for an editable page.
