Creating a Proposal

Learn how to build and send a Proposal to a customer directly from a Project using the Payments feature.

Proposals is a document builder built into CompanyCam Payments. Use it to outline your scope of work, break down line items, and collect a deposit before the job starts, all from inside a Project.

Proposals requires Payments to be set up on your account first, and the feature is currently in Early Access, so plan availability may change. See Requesting Payments to get started.


On the web

Only Admin, Manager, and Standard roles can create Proposals.

There are two ways to start a Proposal. Pick whichever fits how you work, then continue to build the proposal below.

Start from a Project

  1. Open the Project > click Sales.

  2. Click + Create Proposal.

Start from the Proposals menu

  1. Click Proposals in the left-hand navigation menu.

  2. Click + Create Proposal, choose a Project, then click Create.

Build the Proposal

  1. Basic details: Add a title for the Proposal. Click the address field to edit the contact info for the customer, then click Done.

  2. Scope & timeline: Describe the work you're planning. You can type your own notes or use the AI Assistant, which drafts a scope based on the Project's details and your past Proposals.

  3. Line items: Add items one at a time (name, quantity, price, and an optional description), or click Add from Price Book to pull in saved items. Click the trash can icon to remove an item. Once your items are in, review the subtotal and add a tax rate if needed.

  4. Deposit: Decide whether to require a deposit and which payment options to accept. If you accept card payments, you can choose whether to pass the processing fee to the customer.

  5. Add-ons: You can add any of the following in any order:

    • Photos: Pull photos in from the Project.

    • Files: Attach supporting files.

    • Terms and conditions: Edit the default terms and conditions text, or remove it entirely.

    • E-signature: Turn on Sign and collect e-signature from client to require a signature. You'll need to check the electronic signature agreement box and enter your name before you can share the Proposal.

  6. Preview and share: Click Preview to review the Proposal, then share it with your customer.

Duplicate a Proposal

​Any user role can duplicate a Proposal, and you can do it regardless of the Proposal's status, including Draft, Sent, and Approved.

  1. Click Proposals in the left-hand navigation menu.

  2. Click the three-dot menu next to the Proposal you want to duplicate, then click Duplicate.


In the app

Only Admin, Manager, and Standard roles can create Proposals.

  1. Open the Project > tap Sales.

  2. Tap Create Proposal.

  3. AI Assistant: Type or speak your notes, then add Files or Pages from your Project as context, helpful when you have a measurement file or walkthrough note you want the AI to reference. Files with restricted access only appear for Users who already have access to them. To build the Proposal manually instead, tap outside the AI Assistant to dismiss it.

  4. Basic details: This auto-populates a title, Proposal number, and status. To edit, tap into the section, update the title, then tap Save.

  5. Customer: Tap the text box under Customer, enter the contact info, then tap Save.

  6. Scope: Tap Add scope of work, describe the job, then tap Save.

  7. Line items: Tap + Add Item to add one manually, or + Pricebook to pull one in. Adding manually, you'll set a name, quantity, unit cost, and unit type, then tap Save Item. If you'd rather not show pricing to the customer, toggle off Hide line item prices from customer.

  8. Deposit: Decide whether to require a deposit and which payment options to accept. If you accept card payments, you can choose whether to pass the processing fee to the customer.

  9. Add-ons: You can add any of the following in any order:

    • Photos: Tap + Add photos to pull photos in from the Project.

    • Terms and conditions: Edit or remove the default terms and conditions text.

    • Files: Tap + Add files to attach supporting files.

    • E-signature: Turn on Sign and collect e-signature from client to require a signature. You'll need to check the electronic signature agreement box and type your full name before you can share the Proposal.

  10. Tap View to preview the Proposal, then tap the Share icon in the top-right corner to send it.


FAQs

Can I create a Proposal without setting up Payments first?

No. Proposals requires Payments to be active on your account. See Requesting Payments to get started.

Can Restricted roles create Proposals?

No. Only Admin, Manager, and Standard roles can create Proposals. Any role can duplicate an existing Proposal, though.

Can I add photos from my phone's camera roll to a Proposal?

Not directly. You can't add photos directly from your camera roll to a Proposal. Proposals only pull photos from within the Project. You'll need to add the photos to the Project first, then select them for the Proposal.

Does the deposit amount have to be a percentage?

No. The deposit can be any dollar amount, but it can't be $0. A Proposal won't be approvable until a deposit amount is entered.

Can I duplicate a Proposal regardless of its status?

Yes. Proposals can be duplicated regardless of status, including Draft, Sent, and Approved. Duplicating is available on the web only.

Are CompanyCam Payments available outside the United States?

Payment processing is currently only available in the United States. If your business is based outside the US, you won't be able to use CompanyCam Payments.
