Create a Proposal (Beta)

Learn how to build and send a Proposal to a customer directly from a Project using the Payments feature.

Proposals is a document builder built into CompanyCam Payments. Use it to outline your scope of work, break down line items, and collect a deposit before the job starts — all from inside a Project.

To create Proposals, you'll need to have Payments set up on your account first. See How to Request Payments to get started.

This feature is in Early Access; plan availability is subject to change.

Note: Only Admin, Manager, and Standard roles can create Proposals.

There are two ways to start a new Proposal. Follow the steps for your preferred starting point, then continue from Step 3 onward.

Create a Proposal within a Project

  1. Log in to CompanyCam and open the Project > click the Sales Tab.

  2. Click the + Create Proposal Button.

  3. Jump to Step 3 below to complete your Proposal.

Create a Proposal within the Global Proposals Menu

  1. Log in to CompanyCam and click Proposals in the left-hand navigation menu.

  2. Click + Create Proposal, choose a Project, and click Create.

  3. Basic Details
    Here, you can add a Title for the Proposal. You can also click on the address field to edit the Contact Info for the person you're creating the Proposal for, then click Done.

  4. Scope & Timeline
    Describe the work you're planning in the Scope & Timeline Section. You can also utilize the AI Assistant to draft your Scope & Timeline. To use the AI Assistant, type in your notes, and the AI will generate a draft based on your Project details and past Proposals.

  5. Line Items

    1. Add your line items. For each item, enter a Name, Quantity, Price, and an optional Description, then click Add Item.

    2. You can pull items from your Price Book by clicking Add from Price Book, selecting the item, entering the quantity, and clicking Add Item.

    3. To remove a line item, click on the Trash Can Icon to the right of the item.

    4. After you've added your Line Items, you'll review your subtotal. You can add a tax rate here as well.

  6. Deposit

    After reviewing the subtotal, you can decide if you'd like to include a Deposit for the Proposal and select the Payment Options you'd like to accept. If accepting a Credit or Debit Card payment, you can also decide if you'd like to pass the processing fee to your Customer.

  7. Add Ons

    1. Photos:
      To add photos from your Project to the Proposal, click on the + Button.

    2. Files:
      To add files to the Proposal, click on the + Add files Button.

    3. Terms and Conditions:
      The Terms and Conditions section allows you to enter any terms, conditions, or additional details you'd like your customer to review before approving the Proposal. Note: Your Proposal includes a default Terms & Conditions section. You can edit or remove this text directly in the Proposal editor.

    4. E-Signature:
      If you'd like to collect a signature from your client in the Proposal, enable the Sign and collect e-signature from client toggle. Important: If this option is selected, you must check the box agreeing to sign the document electronically and enter your full name in the text box in order to share the Proposal.

  8. Once you've finished editing, click Preview to review your Proposal, then Share it with your client.


In the app

Note: Only Admin, Manager, and Standard roles can create Proposals.

  1. Open the Project and tap on the Sales Section.

  2. Tap Create Proposal.

  3. You can use the AI Assistant to draft your Proposal. Type or speak your notes, and the AI will generate a draft based on your Project details and past Proposals. If you prefer to create your Proposal manually, you can tap anywhere outside of the AI Assistant to dismiss it.

  4. Basic Details

    The Basic Details section will auto-populate a Proposal Title, Proposal Number, and Status. To edit the Proposal, tap into the Basic Details Section > update the title > Save.

  5. Customer
    Tap the text box under Customer, then enter the Contact Info for the person you're creating the Proposal for, then tap Save.

  6. Scope
    Tap Add scope of work to open a text box where you can describe the work you'll perform. Once complete, tap Save.

  7. Line Items
    Tap + Add Item to manually add a Line Item or tap + Pricebook to add a Line Item from your Pricebook. When manually adding a Line Item, you'll give the item a Name, Quantity, Unit Cost, and Unit Type. Once complete, tap Save Item.

    Optional: If you prefer not to show line item information in the Proposal, you can toggle off Hide line item prices from customer.

  8. Deposit
    After reviewing the subtotal under your Line Items, you can decide if you'd like to include a Deposit for the Proposal and select the Payment Options you'd like to accept. If accepting a Credit or Debit Card payment, you can also decide if you'd like to pass the processing fee to your Customer.

  9. Add Ons

    1. Photos:
      To add photos from your Project to the Proposal, tap + Add photos.

    2. Terms and Conditions:
      This section allows you to enter any terms, conditions, or additional details you'd like your customer to review before approving the Proposal. Your Proposal includes a default Terms & Conditions section. You can edit or remove this text directly in the Proposal editor.

    3. Files:
      To add Files from your Project, tap + Add files.

    4. E-Signature:
      Enable Sign and collect e-signature from client if you want to collect a signature from your client in the Proposal. If this option is selected, you must check the box agreeing to sign the document electronically and type your full name in the text box in order to share the Proposal.

  10. Tap the View Button to preview the Proposal and share it with your customer by tapping the Share Icon in the top-right corner.


FAQs

Can I create a Proposal without setting up Payments first?

Proposals require Payments to be active on your account. See Setting Up Payments to get started.

Can Restricted roles create Proposals?

Restricted roles cannot create Proposals. Admin, Manager, and Standard roles have access.

Can I add photos from my phone's camera roll to a Proposal?

Proposals pull photos from within the Project. You'll need to add photos to the Project first before selecting them for a Proposal.

Does the deposit amount have to be a percentage?

The deposit can be any dollar amount — it just can't be $0. A Proposal won't be approvable until a deposit amount is entered.

Are CompanyCam Payments available outside the United States?

Payment processing is only available in the United States. If your business is based outside of the US, you will not be able to use CompanyCam Payments.
