Creating a Proposal

Learn how to build and send a Proposal to a customer from a Project, and get notified when its status changes.

Proposals is a document builder inside CompanyCam Payments. Use it to lay out your scope of work, break down line items, and collect a deposit before the job starts, all from inside a Project. You'll also get a notification whenever a Proposal's status changes, so you know the moment a customer accepts or declines.

This feature is in Early Access. Plan availability is subject to change.


On the web

Note: Restricted Users can create Proposals, but can only view Proposals they created on Projects they're assigned to.

There are two ways to start. Pick whichever fits how you work, then build the Proposal below.

From a Project: Open the Project > click Sales > click + Create Proposal.

From the Proposals menu: Open Proposals in the left-hand navigation, click + Create Proposal, choose a Project, then click Create.

Build the Proposal

Create a first draft with AI

You don't have to build the Proposal from scratch. In the left panel, describe the job you want to quote and send it to generate a first draft, then edit any section from there. To give the AI more to work with, click the + to pull in Files or Pages from the Project as context.

Note: A prompt is required to start a draft. Adding a File or Page on its own won't generate anything, so type a short description of the job along with it.

A Proposal is made up of a few sections. Here's what each one does.

  • Basic details: If the Project already has a Customer with contact info, the Title and the Customer's details fill in automatically. If it doesn't, add them here, then click the pencil icon to edit the contact info. The Proposal ID is assigned for you. See Creating and Managing Customers to set up a Customer record.

  • Scope & timeline: Describe the work you're quoting, including materials and site conditions.

  • Line Items: Add what you're charging for one item at a time, with a name, quantity, price, and an optional description.

    • To reuse pricing you've already saved, click Add from Price Book to pull items in instead of typing them out. See Price Book to build one first. Click the trash can icon next to an item to remove it.

      As you build, the totals tally up in this section: Line Item costs feed the subtotal, an optional Markup percentage builds your margin in on top, and you can add a tax rate. Your customer only sees the final numbers.

  • Subtotal and tax: Your subtotal adds up automatically as you go. Add a tax rate here if the job needs one.

  • Deposit and payment options: Choose whether to require a Deposit before work starts, and pick which payment options to accept. If you take card payments, you can decide whether to pass the processing fee to your customer.

  • Add-ons: Attach extra detail in any order.

    • Photos from the Project, so your customer can see the site or the work.

    • Files that support the Proposal, like specs or warranties.

    • Terms and conditions, with default text you can edit or remove.

    • E-signature, so your customer can sign off. To require one, turn on Sign and collect e-signature from client, check the electronic signature agreement box, and enter your name.

Click Preview to see the Proposal the way your customer will, then share it when it's ready.

Once a Proposal is sent, you'll get a notification when its status changes, including when a customer accepts or declines. Notifications show up on both web and mobile.


Duplicate a Proposal

Any role can duplicate a Proposal, in any status, including Draft, Sent, and Approved.

Open Proposals in the left-hand navigation, click the three-dot menu next to the Proposal, then click Duplicate.

Open the Project > tap Sales > tap the + button > tap Proposal.

Build the Proposal

Create a first draft with AI

You don't have to build the Proposal from scratch. Type or speak a description of the job you want to quote to generate a first draft, then edit any section from there. To give the AI more to work with, add Files or Pages from the Project as context, handy when you've got a measurement file or a walkthrough note. Files with restricted access only appear for Users who already have access. To build manually instead, tap outside the AI Assistant to dismiss it.

A Proposal is made up of a few sections. Here's what each one does.

  • Basic details: If the Project already has a Customer with contact info, the title and contact details fill in automatically. To change the title, tap it, edit, then tap Save. To add or edit contact info, tap the box under Customer, enter the details, then tap Save. See Creating and Managing Customers to set up a Customer record.

  • Scope of work: Tap Add scope of work, describe the job, then tap Save.

  • Line Items: Add what you're charging for one item at a time. Tap + Add Item to enter one manually with a name, quantity, unit cost, and unit type, then tap Save Item.

    • Tap Pricebook to pull in pricing you've already saved. See Price Book to build one first. To hide pricing from your customer, turn on Hide line item prices from customer.

FAQs

Can I create a Proposal without setting up Payments first?

Yes, you can create a Proposal without Payments active on your account. Without Payments, your deposit collection is limited to offline only. Adding Payments to your account is free of charge. See Requesting Payments to get started.

Can Restricted roles create Proposals?

Restricted Users can create duplicate Proposals. Please note that Restricted Users can only create and duplicate Proposals on Projects they created or are assigned to.

Who gets notified when a Proposal is accepted or declined?

When a Proposal is accepted or declined, an in-app notification goes to Admins, Managers, and whoever created the Proposal.

Can I add photos from my phone's camera roll to a Proposal?

You can't add photos to a Proposal directly from your camera roll. Proposals only pull Photos from within the Project, so add the Photos to the Project first, then select them for the Proposal.

Does the deposit amount have to be a percentage?

The deposit doesn't have to be a percentage. It can be any dollar amount, but it can't be $0. A Proposal isn't approvable until a deposit amount is entered.

Can I duplicate a Proposal regardless of its status?

You can duplicate a Proposal in any status, including Draft, Sent, and Approved. Duplicating is available on the web only.

Are CompanyCam Payments available outside the United States?

CompanyCam Payments are only available in the United States. If your business is based outside the US, you won't be able to use Payments.
