Managing Org-Owned Templates

Learn how Org Admins move a company-built Checklist or Document Template into the Corporate Portal, and what changes for everyone else once a Template is org-owned.

A Checklist or Document Template is owned by either a single account or your whole organization. Org-owned Templates live in the Corporate Portal and stay the same everywhere they're used. This article covers how to move a company-built Template up to the Corporate Portal, and what changes once it's org-owned.

This feature is available on select plans and is only available on the web app.


Moving a company Template to the Corporate Portal

Note: Only Org Admins can move a Template to the Corporate Portal.

  1. Open the Templates section within a company account and find the Checklist Template or Document Template you want to make accessible to all of your locations.

  2. Select the 3 Dot Icon to the right of the Template.

  3. Click Move to Corporate Portal.

What changes once a Template is org-owned

Moving a Template locks it down at the company level, so there's one source of truth.

  • It's read-only in the company editor. Users in the account can open the Template and see it, but they can't change or delete it. Edits happen in the Corporate Portal.

  • It can only be deleted from the Corporate Portal. Nobody can delete an org-owned Template from inside an account, so it can't disappear by accident.

  • Only Org Admins can duplicate it. Everyone else loses the Duplicate option on an org-owned Template, which keeps copies from drifting across accounts.

  • It carries a badge. An org-owned Template shows a badge in the company Templates list, so anyone looking at the list can tell who owns it.

Note: These rules only apply to org-owned Templates. Templates built inside an account stay fully editable by that account's Admins and Managers.

Editing an org-owned Template

Open the Corporate Portal > click the Templates Tab > click the Template's title to reopen the editor. Changes save automatically and apply everywhere the Template is used.


FAQs

Can a Manager edit an org-owned Template?

Managers can't edit an org-owned Template. They can open it and see it in the company editor, but it's read-only. Only Org Admins can change it, and only from the Corporate Portal.

Can company Admins and Managers duplicate an org-owned Template?

Company-level Admins and Managers can't duplicate an org-owned Template. Only Org Admins can, from the Corporate Portal.

What happens to Checklists or Documents already in progress?

Checklists and Documents already assigned to a Project keep the content they were created with. Moving the Template only changes where the Template is managed going forward, not work that's already underway.

Can I move an org-owned Template to a single account?

Org-owned Templates can only move in one direction today, from company to org.
