Before you start
You must have an active account with both CompanyCam and Smartsheet in order to integrate the two services.
You must have Admin or Manager privileges in both CompanyCam and Smartsheet to set up the integration. If you don’t have that role, ask an Admin on your company’s account for permission; here’s what they’ll need.
Integrations are not available on Basic plans. Upgrade your plan to take advantage of this feature.
What is Smartsheet?
Smartsheet is the modern work management platform that connects the people, technologies, and goals of the organization by empowering teams to plan, manage, scale, and report on work with greater speed and consistency.
Setup
Please Note
Before you get to the mapping step, your Smartsheet needs to have the right rows in place. Row names do not need to match exactly since you will map them to the correct CompanyCam fields during setup, but the row types do matter. If your sheet is missing the right structure, the mapping dropdowns will have nothing to pull from.
At a minimum, your sheet should include the following rows:
Project Name — Text row used to populate the CompanyCam project name
Address — Text row for the project address
Status — Dropdown row used to set and trigger project status changes (e.g. In Progress, Complete)
Crew — Contact row to assign team members. For the user assignment to sync correctly, the crew member must be an active user in both platforms and have the same email address in each.
Create in CompanyCam — Dropdown row with a "Create" option, used as the trigger to push a new project into CompanyCam
CompanyCam Project Link — Text or URL row where the auto-generated project link will appear once the project is created
Log in to CompanyCam and, in the left-hand navigation menu under Resources, select Integrations.
Look for the Smartsheet card, select it, and then click Connect.
A pop-up will appear where you can choose whether to check the box to sync photos and files to Smartsheet. Note: If this box is not checked, no photos or files will be synced.
Once you’ve made your selection, click Save to complete the setup.
You will be taken to the Smartsheet website, where you can either create a new Smartsheet account or sign in to an existing one. Click on the option that applies to you.
Click Allow. You will then be taken back to CompanyCam.
After granting access, you’ll return to the setup screen in CompanyCam. You can now begin linking your Smartsheet sheets. Click Link Sheet to get started.
This will take you to Step 1 of the Smartsheet Data Mapping process, where you’ll start by typing and selecting the Smartsheet sheet you want to connect.
Step 2 will then appear, allowing you to begin the mapping and event trigger process. Keep in mind that the event trigger is what pushes the integration to create a new Project in CompanyCam from your board columns.
Once you’ve chosen all required options, click Create.
Your integration is now connected! To link additional sheets, click Link Sheet and repeat steps 7 to 10.
How it works
This integration allows you to choose which Smartsheet sheets sync with CompanyCam! During setup, start typing the name of a sheet and a list of matching sheets will appear for you to select from. Customizable field mapping allows you to choose which Smartsheet columns populate CompanyCam Project fields (e.g., Project name, address, status). Flexible triggers allow you to decide what events in Smartsheet create new CompanyCam Projects, such as a status change to "In Progress," a new item being added, or a specific column update. You can also set archiving triggers, so when a project is marked "Complete" in Smartsheet, the corresponding CompanyCam Project is automatically archived.
Then, once you capture content in CompanyCam, you can choose to sync CompanyCam photos and files back to the corresponding Smartsheet row as attachments. A deep Project link can be added to the Smartsheet row for one-click access to the full CompanyCam Project, and visual updates appear in near real-time, keeping your Smartsheet rows up to date with the latest job site documentation!
Log in to your Smartsheet account and open the workspace where your linked Sheet lives.
Select the Sheet you linked in this integration.
To create a new project, start by adding the Name, Address, Crew, and Status to the designated columns in your Sheet.
Once the required information has been entered, navigate to the Create in CompanyCam column and select Create from the dropdown to trigger a new Project to be created in CompanyCam.
Please note: The trigger must be set in order for a Project to be created in CompanyCam.
The new CompanyCam Project will be created with the Project Label Smartsheet and reflect the Status you've set (e.g., Smartsheet - In Progress, or any other Status you've configured). Please note that it can take up to 5 minutes for the Project to appear in CompanyCam.
Once the Project has been created, a Project Link will automatically appear in the CompanyCam Project Link column of your Sheet, giving you one-click access to the Project in CompanyCam.
The Crew member(s) selected in your Sheet will automatically be assigned to the Project in CompanyCam under the Project Users section, as long as they are active users in both platforms and share the same email address.
Any Photos and Files uploaded to the CompanyCam Project will automatically sync back to the corresponding row in Smartsheet and appear under the Attachments section of that row.
