Best Practices when Using AI Tools in CompanyCam

Helpful Tips and Tricks for using AI in CompanyCam

Updated over a week ago

Before you start

  • The number of AI Actions available to you will depend on the plan you are on.

Please Note

Accounts on the Premium and Elite Plans:

  • Can use an unlimited number of AI Actions.

  • The AI Actions are account-level features, available to all Permission Roles.

Accounts that are within their initial 14-day free trial, on the Pro Plan, or on the Basic Plan:

  • Have access to 10 AI Actions. Once all 10 Actions are used, you'll be prompted to upgrade your subscription to the Premium Plan. To upgrade, you must have the Admin role.

  • Due to the Action limits associated with the Basic and Pro Plans, for these accounts, the AI Actions are available to Users with the Admin, Manager, or Standard role. If you don’t have that role, ask an Admin on your company’s account for permission; here's what they'll need.

How it works

CompanyCam's AI system operates by taking transcripts or Photo Descriptions from User inputs and then submits them to specialized prompts to generate Outputs.

Each AI Action has its own prompt designed to produce outputs based on its own feature. The app processes your photo descriptions and voice inputs to create Daily Logs, Summaries, Checklists, and other documentation.

General best practices

Voice Input

The more context and detail you provide within your photo descriptions, the better your results will be. When an AI Feature uses voice input, it allows you to provide extensive context naturally. You can "talk things out" to include all relevant details. When you're using these tools, it's best to be as specific as possible rather than using vague terms.

Examples

  • "The living room needs X, Y, Z repairs".

  • "I'm completing work in the living room right now. Next, we're going to work on the dining room".

  • Include directional details: "On the north side of the house".

Audio Quality

Try to speak as clearly as possible when using AI Tools. A good rule of thumb is to pretend as if you're talking to someone on the phone. You want to minimize background noise as much as possible, avoid muffled speech, and avoid speaking too quickly. It's also helpful to take a moment to gather your thoughts before recording.

Walkthrough Note

The Walkthrough Note is the most flexible AI option available. It can create a summary and outline documentation from voice input and photos.

With this tool, we generally recommend speaking first, then capturing a photo, and repeating the process. This helps to lay a good foundation for the AI to use when generating your Page.

When using this tool, be sure to provide as much context as possible. For example: "I'm in a backyard, and am going to document all the things that need fixing". By providing context, you help to structure the document and create logical sections with appropriate titles. When you're moving between areas or rooms, be explicit about your transitions and organization needs.

Checklist AI Tools

The AI features within Checklists can create and manage Checklists through voice commands.

Voice Commands

When using these tools, it's helpful to:

  • Use phrases like "mark as done", "rank this as", "fill this out as", etc.

  • Repeat the exact language that the app prompts with for easier matching.

  • Utilize the tap-to-keep-mic-running feature for continuous content while photographing.

Example Voice Commands for Checklist creation

  • "We need a chore to clean the kitchen".

  • "Organize all of the cleaning fields into a section called 'Cleaning Chores'".

  • "Create a new section for the Checklist titled pre-work site inspection. Create a task to inspect the work area for existing damage. Ask a yes/no question: Is there any existing damage?".

Example Voice Commands for Checklist Completion

  • The chore to clean the kitchen is complete.

  • I inspected the work area for damage, and yes, there is existing damage. There are cracks and scratches. Make a note that it looks like the damage was the result of improper installation".

Pages

All Pages features require photos with Photo Descriptions, Comments, and Tags. Adding as much context to your photos will help create the best output.

Quick Caption

Quick Caption takes voice input and creates concise, natural-sounding captions. Outputs will be summarized and will not be word-for-word.

Important information and limitations

AI Accuracy

  • It's important to keep in mind that AI is not perfect and can make mistakes.

  • Always review your AI-generated content and edit/correct the output as needed.

  • We're continuously improving how our AI Tools interpret technical language to help improve outputs.

  • Providing comprehensive descriptions and context helps to improve the accuracy of the output you receive.

Voice AI Feature Requirements

When using a voice-enabled AI Tool, you must:

  • Speak clearly and avoid muffled speech.

  • Minimize background noise and competing voices.

  • Maintain an appropriate speaking pace. Try not to speak too quickly.

  • Be explicit about your intentions. Tell the AI exactly what to do rather than expecting it to infer or connect the dots.

Troubleshooting Tips

If you're receiving poor AI output performance, here are some tips and tricks to help increase the performance:

  1. Check to make sure you're providing sufficient context/detail for the AI to use.

  2. Double-check your audio quality and make sure you're speaking clearly.

  3. Make sure you're using clear, specific language.

Now that you know more about how our AI Tools work, here's how you can use our AI features for Pages and AI features for Checklists.
